Introduction

At T&G, we take your privacy seriously. This Recruitment Privacy Statement (“Recruitment Privacy Statement”) explains how we collect, use, store, disclose, and/or otherwise process personal information when you interact with us in connection with our employer branding and recruitment activities.

This Recruitment Privacy Statement applies when you visit our careers or recruitment websites, create a profile, apply for a role, are sourced or referred for employment, act as a referee, or otherwise engage with us in connection with recruitment.

Where your personal information is collected, used, disclosed and/or otherwise processed by T&G globally (except the US), the jurisdiction-specific supplemental terms in the Annex (“Supplemental Terms“) for the relevant jurisdiction (if any) shall apply to you, in addition to the terms set out in this Recruitment Privacy Statement. In the event of any inconsistency between the provisions of the Supplemental Terms and the main body of this Recruitment Privacy Statement, the former shall prevail to the extent of the inconsistency.

T&G refers to T&G Global Limited and its majority-owned or controlled subsidiaries. A list of T&G’s subsidiaries may be found on the following Contact Us page. Personal information means any information about an identifiable individual, as defined by the applicable data protection and privacy laws.

This Recruitment Privacy Statement may be updated periodically. If we make any changes, then we will tell you about them by posting an updated Recruitment Privacy Statement on our website. The latest version and publication date will always be clearly marked. Any changes will take effect from the date we update and post the amended Recruitment Privacy Statement. Where required by applicable law, we will seek your consent to such changes. Unless expressly otherwise stated, this Recruitment Privacy Statement shall apply in conjunction with any other data protection notices or policies, contractual clauses and consent clauses that apply to the processing of your personal information by us.

Collecting Personal Information

We collect and process personal information only where permitted by applicable privacy and data protection laws. This may include where processing is necessary for our legitimate recruitment interests, to take steps prior to entering into an employment relationship, where you have provided consent, or to comply with our legal obligations.

You are not legally required to provide personal information. However, if certain information is not provided, we may be unable to consider or progress your application.

How and When We Collect Personal Information

We collect personal information when you use our Career Site, submit an application, participate in interviews or assessments, communicate with us, or provide referee details.

We may also collect technical information automatically through cookies and similar technologies when you visit our Career Site, refer to our Cookie Policy on this site for more information.

What Personal Information We Collect

Depending on the nature of your interaction with us, the types of personal information which we may collect from you include contact details, information contained in your CV and application materials, employment history, qualifications, interview notes, assessment outcomes, referee information, communications with us, and technical site usage data.

We may collect the following sensitive personal information in connection with our recruitment process: your personal identification information and criminal data.

Use and Disclosure of Personal Information

We may use personal information about you for the following purposes in connection with our recruitment processes:

  • evaluating your suitability for employment in any current or prospective position with us, including conducting pre-employment activities such as health screening and background reference checks;
  • verifying your identity and the accuracy of any information provided in your application;
  • communicating with you throughout the recruitment process and contacting your referees;
  • entering into an employment relationship with you or appointing you to any office;
  • managing or terminating the employment relationship;
  • supporting workforce planning;
  • maintaining system security;
  • meeting legal and regulatory obligations;
  • any other purposes for which you have provided your personal information; and
  • any other purposes reasonably related to or required for any of the above.

We may disclose the personal information collected (as stated above) for the purposes listed above. Personal information may be shared within the T&G group, with recruitment and technology service providers, professional advisers, regulators where required, or parties involved in corporate transactions, to the extent provided by law.

International Transfers

Your personal information will be used in locations where we or the above recipients (our subsidiaries listed in the Contact Us page) are situated. Some service providers or group companies are located outside of your country of residence. Where personal information is transferred overseas, we take reasonable steps to ensure appropriate safeguards are in place in accordance with the applicable privacy and data protection laws for the country in which the data was collected.

Methods of Processing

Your personal information may be collected, processed, and used through automated or non-automated means, including but not limited to written documents, telephone, SMS, fax, email, internet, paper-based formats, or any other methods consistent with the purpose of collection and current scientific technology.

Security

We maintain reasonable technical and organisational safeguards to protect personal information against loss, misuse, unauthorised access, modification or disclosure. In the event of a data breach involving your personal information, we will notify you as required and in accordance with the applicable privacy law.

Retention of Personal Information

We retain recruitment-related personal information only for as long as necessary for recruitment purposes and generally, if you do not join our team, for a period of 12 months after the end of the recruitment process. However, we may need to retain your personal data for a longer period in order to meet our legal and regulatory obligations.

If your application is successful and you become our employee, your personal information will be retained for the period of your employment, and you are covered by the T&G Global Staff Privacy Statement which will be provided to you on employment.

Your Rights in Relation to Your Personal Information

You have the following rights in relation to the personal information we hold about you as covered by the applicable privacy laws in your country of residence:

  • Request access to, including a copy of personal information we hold about you
  • Request correction of your personal information
  • Restrict certain processing activities
  • Request the cessation of the collection, processing and/or use of your personal information
  • Request deletion of your personal information
  • Withdraw your consent
  • Lodge a complaint
  • Data portability

These rights apply regardless of whether the information was collected directly from you or from a third party.

You may exercise your privacy rights by contacting our Privacy Team (see How to Contact Us below). Where you have submitted a request to exercise your privacy rights, we will respond to your request as soon as reasonably practicable and in accordance with the timeframes of applicable laws. Please note that we may request additional information from you in order to process your request.

Where you have made a request for access to personal information, we will make all reasonable attempts to provide the personal information in the format requested by you or, failing which, will offer it in a format that we feel should be acceptable. To make a request please contact us.

Our Career Site uses cookies and similar technologies to operate effectively and analyse usage. Further details are available in our Cookie Policy. For the avoidance of doubt, we do not use cookies or similar technologies on our Career Site to collect personal information.

Vietnam

Your Rights and Obligations

In addition to the rights outlined in the main body of the Recruitment Privacy Statement, you also have the following rights:

  • To lodge complaints, make denunciations, initiate lawsuits, and claim compensation for damages in accordance with applicable law;
  • To request competent authorities or relevant organisations or individuals involved in personal information processing to implement measures to protect your personal information in accordance with applicable law.

Your obligations also include the following:

  • To protect your personal information;
  • To respect and protect the personal information of others;
  • To provide complete and accurate personal information in accordance with applicable law, contractual obligations, or when consenting to the processing of your personal information;
  • To comply with laws on personal information protection and participate in the prevention of violations of personal information protection laws.

Japan

This Annex supplements this Recruitment Privacy Statement and applies exclusively to the processing of personal information of individuals who are located in Japan, insofar as such processing is subject to the Japanese Act on the Protection of Personal Information (“APPI”).

Rights relating to purposes of use and third-party disclosures

In addition to the rights described in the main body of this Recruitment Privacy Statement, you may, to the extent permitted under the APPI, request that we notify you of the purpose of using your personal information which we retain.

You also have the following rights in relation to the disclosure of your personal information to third parties to the extent permitted under the APPI:

  • Right to access records of third-party disclosures. You may request access to records concerning the disclosure of your personal information to third parties (and, where applicable, records concerning the receipt of such data from third parties). We will respond to such requests without undue delay, subject to any applicable limitations or exceptions under the APPI.
  • Right to request restriction of third-party disclosure. You may request that we cease the provision of your personal information to third parties where such disclosure does not comply with applicable legal requirements or where it may otherwise infringe your rights or legitimate interests. Upon receipt of a valid request, we will assess the circumstances and take appropriate measures in accordance with our legal obligations under the APPI.

South Korea

We provide the following information for individuals residing in South Korea in accordance with the Personal Information Protection Act (“PIPA”).

Korean Statutory Retention Period

Personal information retained under a statutory obligation will be stored separately and will not be used for any other purpose. When personal information is destroyed, electronic files are permanently deleted using methods that prevent restoration, and printed materials are shredded or incinerated.
